Sales Coordinator, Bilingual (Japanese)

Position overview

Provide sales support, customer service and flawless execution in the co-ordination and administration of the education programs at designated Merrithew Host Training Centers. Responsibilities include assisting Mangers with business development activities, handling the day-to-day facility services and activities associated with growing the revenue for Merrithew® hosting and to co-ordinate the pre-, during and post course execution of hosted courses. The position will be hybrid.

Major responsibilities

Sales Support and Business Development

  • Assist Managers with market research, leads generation and initial qualification before passing pre-qualified leads to sales managers for designated territories
  • Assist Managers with on-board training of new host centers, and coordinate with Marketing team to promote new host centers via email, social media, blogs, etc.
  • Generate and maintain sales reports
  • Support Managers with customer meetings and translation if necessary, and contribute to overall customer satisfaction by promptly handling inquires

Customer Service

  • Provide superior customer service to new and current Host Training Centers by providing answers to their questions
  • Communicate with facility owners/operators to ensure our students’ needs are met
  • Proactively communicate with facility owners/operators on an ongoing basis to facilitate current and future training needs
  • Assist with providing support to hosting clients and students through liaison with the Marketing & Communications team, and the programming team
  • Other duties as assigned

Hosting Coordination and Implementation

  • 1) Before Education Hosting
    • Documents Preparation: Hosting Agreements, Instructor Trainer (IT) Agreements
    • Order Creation in EMS
    • Updating Tracker and ensure most up-to-date info
    • Invoicing: Deposits, final payments, exams, makeups, privates
    • Apply payments
    • Send workshop notes to Host Sites upon receiving final payments
    • Send required Paperwork to Host Sites prior to Hosting begins
    • Process Course Materials and Digital Video Orders
    • Travel Arrangements:
      • Book flights;
      • Coordinate with sites about ground travel, hotel arrangements, travels, etc.;
      • Visa application: Assist ITs by providing visa letters, necessary guidance of visa process etc.;
      • Connect ITs with Host Sites by setting up group chats;
      • Calculate expense sharing when ITs travel to multiple Host Sites in one trip;
      • Invoice IT Expense to Host Sites prior to IT departure;
      • Prepare IT Brief prior to IT departure
    • Follow up payments: Deposits, final payments, IT Expenses, exams, makeups, privates
  • 2) During Hosting
    • Provide assistance to ITs during their stay hosting territories
    • Provide ongoing assistance to Host Sites as required
  • 3) After Hosting
    • Exams/Makeups/Privates: Collecting post documentation and submitting to programming; coordinate and follow up with Programming on exam results
    • Paperwork: Collect hosting Paperwork; follow up missing documents; enter into EMS and issue Completion Letters
    • IT Invoice: Collect, annotate, and submit to Accounting

Skills and qualifications

  • 2+ years sales support or coordination, administration and customer service experience
  • Post-Secondary Education in Business/Office Administration or related field is an asset
  • Bilingual in English and Japanese is a must
  • Strong written and verbal communication skills
  • Team player, willingness to adapt quickly in a fast-paced multicultural environment
  • Superior attention to detail to ensure quality of work
  • Ability to multi-task and must possess effective time management skills
  • Skilled user of Excel and other Windows office software and CRM system
