Sales Coordinator, Commercial Partner Sales

Position overview

Reporting to the Senior Manager, Commercial Partner Sales (CPS), this role involves a mix of sales and marketing support with customer service skills. The core objectives of this role are to support the Commercial Partner Sales network of distributors and resellers as well as the CPS team through lead qualification, logistics and general administration. Key tasks include: sharing monthly promotional assets to our global network, providing back up support for inbound web orders and in-bound customer calls in addition to delivering excellent service to Merrithew partners and clients.

Major responsibilities

Sales & CSR support

  • Provide support to drive sales through Commercial Partner Sales Team partners to deliver the annual Team Sales Objectives
  • Answer in-bound customer sales calls
  • Respond or escalate customer issues to the Customer Care team
  • Review and respond to inbound customer / departmental emails through, social media and tradeshows, as appropriate
  • Handle order processing for commercial products on, to include freight quotation, payment processing, upselling of products and management reporting
  • Manage potential leads in CRM, creating leads or opportunities and assigning to sales team for follow up
  • Recommend and implement efficiencies with VP approval and IT support on how to make CRM more efficient and user-friendly for the Sales and Admin teams
  • Complete ECDesign 3D Studio software training and provide templates to customers, as requested
  • Work on maintaining the accuracy of customer records in the CRM Database by updating customer contact info (address, email, qualifications, etc.) including duplicates project and any other database accuracy initiatives
  • Add customer follow up calls in CRM or Office to encourage re-orders of Commercial and Retail products
  • Provide in-office support, managing demo equipment inventory for trade show advance and onsite sales
  • Provide support to department in the financial area by printing invoices, updating Sage Accpac records for Sales Representatives such as; ship to locations, customer A/P & A/R records, and creating credit notes
  • Understand the management and coordination of UK orders with Sales Reps, Accounting, Production and our UK facility to be able to provide back-up assistance, when required
  • Generate and distribute Sales and Inventory Reports (e.g. Sales Person Reports, Daily Sales, Saved Carts (when required), Monthly Promotion Sales Analysis, etc.) and other reports as required
  • Oversee the creation and updating of the Commercial Sales Binder – contents, first 30-60-90 days’ document
  • Keep an up-to-date competitive overview analysis up-to-date and by region, when required
  • Help to coordinate the annual sales incentives plan

Marketing support

  • Assist in providing Partner Marketing support – image requests, website reviews, events posting, requests for inventory & serial number reports, etc
  • Assist in maintenance of Distributor Portal: in charge of updating price lists, product information and monthly memos on the Distributor Portal through SiteFinity
  • Assist with the onboarding of all new partners. Work with the team to determine needed tools and procedures
  • Distribution of sell sheets, catalogs and other sales collateral to announce new releases as well as notify partners of discontinued items
  • Work with Marketing to thoroughly review partner websites and social media activity and report to management. Follow up quarterly with quick checks of partner sites and report any issues
  • Observe and then start to write and summarize notes captured during every CPS quarterly meeting. Prepare to discuss key partner updates as well as new products, customer service issues and sales performance
  • Assist with the implementation of quarterly and event-specific promotions for commercial partners
  • Assist with the creation of Project Requests for CPS needs, including New Products, Web Set up, Web Updates, E-blasts, Sell Sheets, Price Lists, and Commercial Catalogue. Initial stage review on projects, prior to final review by Vice-President, Commercial and Retail Sales for approval
  • Create and generate Team notification emails including: Monthly Promotions, New Products, In/Out of Stock items, CRM Updates, General FYIs
  • Assist with travel arrangements, booking external training, gift basket requests for external clients, etc
  • Other duties as assigned

Skills and qualifications

  • 2+ years in a supporting role to sales and customer service teams, with logistics experience handling a range of clients
  • Superior organizational skills
  • Excellent MS Office (Outlook, Word, Excel, PowerPoint) and presentation proficiency
  • CRM expertise with data entry and reporting
  • Ability to thrive in a fast-paced, entrepreneurial environment
  • Excellent communication skills (written and verbal), both in articulating ideas and gathering input from key stakeholders
  • Additional languages, spoken and written, are a definite asset
