Instructor Trainer Recruitment Coordinator, Education Programming

Position overview

The Instructor Trainer Recruitment Coordinator, Education Programming is to provide superior customer service and support to interested applicants, new and existing Instructor Trainers (ITs) worldwide. Acting as their primary liaison before and/or during their IT Application Process with Merrithew. Responsibilities include working on active recruitment strategies, answering questions during the application process, processing their applications and administrative needs and guidance on next steps with increasing qualifications. The Instructor Trainer Recruitment Coordinator reports to the Manager of Education Programming.

Major responsibilities

  • Providing ongoing administrative support and career counseling to a team of 320+ Merrithew Instructor Trainers (ITs) worldwide, as well as assisting potential IT applicants with questions related to the IT program.
  • Act as main liaison between IT applicants and Merrithew during the IT Program application process, by answering questions, receiving, and organizing all IT program applications to ensure complete requirements are submitted and met with the assistance of Education Programming team members.
  • Processing IT application fees accurately and in a timely manner in Merrithew EMS (Education Management System). Applying payments from the Merrithew online payment portal into EMS if required.
  • Assist in the design and implementation of ongoing IT recruitment strategy with the assistance of the Manager and Director of Education Programming. Including but not limited to the following:
    • Marketing initiatives to attract candidates to IT Program, with assistance from the Marketing team
    • Organize regular IT Information sessions either virtually or in person with assistance from the Education Programming Team
    • Work with Education Account and Sales Managers to identify IT needs as well as potential candidates
    • Pull monthly reports from our EMS to identify possible Certified Instructors who may qualify for IT Program
  • Help to identify and encourage existing ITs to add additional Merrithew qualifications
  • Provide additional support and mentoring options for non-successful applicants, to encourage them to apply again.
  • Organize annual Merrithew IT course schedules with Instructor Trainer Support Coordinator and Corporate Training Center team. Once drafted, present schedule to Manager and Director of Education Programming for approval. Once approved, email schedule announcement and update to IT Portal.
  • Assist with logistics for Merrithew IT Courses and special events with the help of the Corporate Training Center team and Education Programming team members.
  • Assist IT applicants with questions regarding arranging co-teaching. Collaborate with Education Programming team members to finalize co-teaching arrangements for all IT candidates.
  • Updating and maintaining master database records of IT qualifications including any additional qualifications, certifications, applicable post course/co-teaching details, status terminations, Co-Teach Mentoring abilities, IT agreements, and other notes as required. Including updating records in EMS and CRM systems.
  • Providing support to internal teams, Hosting and Licensed Training Centers, with requests for Instructor Trainers recruitment and application process.

Skills and qualifications

  • Strong understanding of all Merrithew Education Programs
  • University or College Degree in Business Administration and/or a related field
  • Strong interpersonal and communication (both written and verbal), project and time management skills with demonstrated success working under pressure and adhering to deadlines
  • Strong problem-solving and analytical skills
  • Strong attention to detail and highly organized with the ability to manage a large volume of different tasks efficiently
  • An energetic, go-getter attitude with strong work ethic and professionalism
  • Excellent skills in Excel, PowerPoint, Word, Outlook, Filemaker Pro or other database system
  • Knowledge of fitness industry/educational programs a plus
  • Additional languages, spoken and written, are a definite asset
