Event Marketing Assistant

Position overview

The Event Marketing Assistant works as a support to the Director, Event Marketing & Strategic Partnerships to develop resources that promote Merrithew’s presence at events worldwide.

This position collaborates with all departments in ensuring the success of each event in which Merrithew participates, from Trade Shows and Conventions to our own Merrithew Mindful Movement Symposiums all while working with a strategic plan by using marketing channels to engage our audience and enhance the experience for our community of mind-body and Pilates professionals.

The Event Marketing Assistant will work closely with Marketing on event-related projects including our on-line presence, including the organization’s web sites, social media presence and digital communications. In addition, they will work with Design in requesting collateral material such as graphics and photography for of use in the above communications channels.

Candidates must be an outstanding, verbal and written communicator, capable of communicating effectively through face-to-face discussions and emails as well as possess a high level of organizational and administrative skills. This position reports to the Director of Event Marketing and Strategic Partnerships.

Major responsibilities

Marketing

  • Ensure that the event marketing plan for each event is kept up to date and work with Marketing/Art to ensure that they are made aware of pending deadlines.
  • Support the execution of strategic initiatives; includes tracking metrics
  • Support the development of tailored messaging, which may include writing and editing.
  • Prepare schedule of entitlements for sponsor agreements.
  • Gather and format data into ongoing reports
  • Work with directly with Marketing on Event related projects such as advertisement, social media, broadcast emails, and blog.

Administrative

  • Prepare and submit supply/equipment orders for events
  • Working with the Manufacturing Plant, manage scheduling and shipping of all equipment needed for events
  • Monitor inventory of staff uniforms and promotional products
  • Prepare all event documents including: event overview, event resume, travel schedules, equipment sales tracking, equipment price lists, staff schedules, and post-event reports
  • Manage the Point of Sale system including pre-show set up of inventory and SKU’s, on-site functioning, staff training, post-show closeout and reporting, maintenance of system information and on-going research into getting the system to be more efficient and effective for company requirements including capturing contact information and purchase history
  • Monitor and maintain inventory of event supply crates
  • Coordinate flights and ground transportation for staff event-related travel, working with the company travel agent
  • Coordinate pre-event meeting for traveling staff
  • Communicate with event staff for collection of invoices for payment of services and/or reimbursement of expenses incurred while traveling
  • Ongoing upkeep of process documents
  • Attend events and trade shows internationally to assist with installation, lead capture, organization of the event, and dismantle

Skills and qualifications

  • 2-3 years of coordination experience. Event Marketing experience is a plus.
  • University Degree in Business Administration and/or Marketing is required
  • Highly organized with attention to detail
  • Ability to multi-task with exceptional time management and problem solving skills
  • Be able to work well under pressure with tight deadlines and adapt quickly to almost any situation
  • Positive attitude, excellent customer service skills, and a good sense of humor
  • Ability to work with a variety of people and develop and maintain good relationships with suppliers/customers
  • Ability to work comfortably with technology, including computers and audio-visual equipment with proficiency in Excel, Word and Outlook
  • Broader work or accountabilities may be assigned as needed
  • Physical ability to lift and move equipment at events
  • Valid passport or no impediment to obtaining one
  • Proof of full vaccination (required for travel outside of Canada)
  • Ability to travel over occasional weekends in order to attend events
