Administrative Assistant

Position overview

Major responsibilities

Administrative support

  • Provide shared administrative assistance and support to multiple internal clients (CEO/CRO)
  • Prepare and manage correspondence, including printing, photocopying, filing documents, and digitizing documents
  • Maintain accurate records and files, maximizing organization for internal clients (CEO/CRO)
  • Manage calendar agendas and appointments according to clients’ needs

Travel coordination

  • Organize and coordinate travel arrangements, including flights, accommodations, and transportation
  • Ensure all travel logistics align with calendars and manage any potential changes
  • Handle travel expenses and reimbursement activities to ensure a compliant and timely process for internal clients (CEO/CRO)

Employee events & Staff meetings coordination

  • Assist internal executive and People & Culture department in organizing and delivering company events and meetings
  • Support MS Teams setup for virtual meetings and run basic facilitation activities to ensure a productive session
  • Assist with logistics, catering, and room bookings for meetings and conferences
  • Host external parties and visitors as requested by internal clients (CEO/CRO) and People & Culture departments
  • Prepare and distribute meeting packages and agendas, take minutes, and follow up on action items

Financial reporting

  • Prepare financial reports and other documents as requested
  • Submit accounts payable tasks, ensuring accuracy and timely processing

Presentation preparation and communication

  • Assist in the preparation, editing, and publishing of presentations in both electronic and hard copy formats
  • Ensure company branding and imagery are used according to internal guidelines
  • Handling confidential communication and acting as a gatekeeper for executives
  • Supporting communication actions as requested, involving internal clients (CEO/CRO) and People & Culture departments

Office operations

  • Support specific day-to-day office operations for visitors, ensuring compliance with safety protocols
  • Coordinate and support other administrative tasks and projects as needed

Skills and qualifications

  • Experience: Minimum of 3 years in an administrative or similar role
  • Education: University or College Degree in Business Administration or a related field
  • Technical Skills: Proficient in MS Office Suite (Outlook, Excel, PowerPoint, Word)
  • Communication Skills: Excellent verbal and written communication skills
  • Attention to Detail: Strong organizational skills and attention to detail
  • Adaptability: Fast learner with the ability to work effectively in a fast-paced environment
  • Marketing Tools: Experience with marketing platforms such as Adobe, Canva, and Photoshop is a plus
