Accounts Payable Coordinator

Position overview

Reporting to the Accounting Manager, the Accounts Payable Coordinator is responsible for performing full cycle accounts payable in multi-currency. The role involves review, coordination, processing, reporting, and file maintenance of all vendor and general payables.

Major responsibilities

  • Managing the day to day AP process.
    • Non PO, and PO 3 way match invoices
    • Multi-currency/ International vendors
  • Review and match PO with Inventory receipts in Misys.
  • Validate GL coding to appropriate division and cost centers.
  • Create regular cheque runs to ensure payment is processed in a timely fashion; calculate applicable vendor payment discounts.
  • Initiate international and local wire transfer payments.
  • Online banking payments.
  • Respond to vendor and staff inquiries to resolve discrepancies.
  • Review and processing of employee expense reports.
  • Reconciliation and analysis of accounts payable and deposits with vendors.
  • Review of Accounts Payable Aging.
  • Assist in preparation of Freight and other expense accruals at month end.
  • Reconciliation of vendor Statements.
  • Organize Petty Cash box and receipts.
  • Keeps track of all invoices and documents received and sent for approvals.
  • Support the Finance team members with month-end close and other ad-hoc projects.
  • Other A/P and accounting duties as assigned.

Skills and qualifications

  • 4+ years’ experience in A/P and related duties in a Finance department.
  • Post-secondary education in an Accounting program.
  • Exposure to multicurrency is an asset.
  • Highly organized with the ability to prioritize.
  • Excellent communication, time management, and follow up skills.
  • Customer focused and team player attitude.
  • Deep proficiency with MS Office (Excel) and familiarity with AccPac/ Sage 300.
  • Strong work ethic, deadline orientation with the ability to be flexible.
  • Takes ownership of tasks and sees them through to completion.
  • Familiarity with Manufacturing industry is an asset.
