Position Overview

This position provides support to two account managers in the Retail Sales department and their key accounts including: Forzanis.com, Physical Company, The Marmaxx Group, Walgreens.com, Gilt Group, AEC, and more. This multi-functioning position involves order processing, customer service, administrative support, and maintaining partner databases and communications. It is a high-volume, multi-tasking position that requires flexibility, persistence, professionalism and a high degree of accuracy. We require a self-motivated, organized and dynamic team player who enjoys working in a fast-paced environment.


Key Responsibilities

Order Entry / Customer Service

  • Processing purchase orders daily and providing advanced shipment notifications (ASNs) for various accounts
  • Providing exceptional customer service to ensure customer satisfaction and conflict resolution, including but not limited to, mis-shipments, late shipments, damages, defectives, returns, invoicing issues and late payments
  • Liaising with our manufacturing plant and sales reps to ensure their key account orders are shipping in a timely manner
  • Answering in-bound phone calls and helping B2C clients with orders and providing shipping quotes and information
  • Performing web processing and other account entry coverage, when necessary

Administrative

  • Maintaining partner account files by updating customer information, pricing, new product submissions and product descriptions as required
  • Working with IT department on new account EDI set up, SKU and product info set up and all other requirements needed to sell into new accounts.
  • Managing all partner site maintenance projects, inventory and uploading images and video clips
  • Processing account deductions and issuing credit memos on a weekly basis.
  • Tracking compliance charges by account to ensure we are complying with regulations and identifying areas for improvement or streamlined processes
  • Working with the Art Department to ensure projects are completed and delivered on time
  • Assisting with competitive reviews and market research for sales opportunities
  • Preparing Sales & Marketing reports as required.
  • Supporting day-to-day execution of sales & marketing initiatives by providing administrative support to the Retail team, including but not limited to travel arrangements, sending samples to clients, power point presentations, sales kits and assisting with tradeshows.
  • Other duties as required

 


Skills and Qualifications:

  • A minimum 2-3 years order entry, customer service and administrative experience
  • Very strong attention to detail.  Excellent accuracy in entering PO information, shipping addresses, tracking numbers
  • Superior organizational skills, with the ability to prioritize and handle multiple tasks and deadlines, works well under pressure and has a sense of urgency
  • Familiarity with EDI and different retail platforms considered an asset
  • Effective communication skills, verbal and written.
  • Intermediate MS Excel, Word, PowerPoint
  • Post secondary education or equivalent work experience
  • Bilingual (French language skills) would be an asset
