Position Summary:

As a Studio Coordinator you will act primarily as a brand ambassador and first point of contact for our high-end and dedicated client base. You will be responsible for the day-to-day operations of the Studio, coordinating both client scheduling and education service as well as facilitating retail sales, providing new and old clients alike with information on our diverse products and services. Primarily you will provide customer service excellence while executing a variety of administrative tasks.

This is a Part-Time (Saturday) position. There is potential for additional hours in this role. You will assist and report to the Senior Studio Coordinator.

Key Responsibilities:

I. Client Accounts/Customer Service

  • You will be tasked with providing winning customer service to our loyal and high-end clientele in person, over the phone and or via e-mail. It is imperative that all visitors be greeted with the warmth and attention they deserve.
  • Assisting in the scheduling and account maintenance of both Private and Group Class clients is also of vital importance. This includes scheduling clients on a monthly basis and selling packages to suit their fitness needs while accurately maintaining each client’s account.
  • Managing the expectations of clients by effectively communicating our Studio’s unique structure and the policies that govern it helps us to provide clear and concise service.
  • Anticipate client needs and accommodate to the best of our ability.

II. Instructor & Apprentice Service

  • Assist Instructors by developing their client base and facilitating their scheduling needs including vacation, time-off, and sick-leave.
  • Inform Instructors of all scheduling impacts that may result from Studio Maintenance, Programming or Education.
  • Pull and return client files for Instructor use on a daily basis.
  • Produce Daily Instructor Schedule in both hard copy and via voice-recording.
  • Inform Instructors promptly of Client cancelations or last-minute scheduling adjustments.
  • Assist Apprentices by developing their client base and facilitating their scheduling needs including vacation, time-off, and sick-leave.
  • Produce Daily Apprentice Room/Equipment Assignments.
  • Manage Instructor/Staff DVD Library.

III. Education & Student Liaison

  • Assist Education by providing superior customer service for all future, past and present students.
  • Assist students in booking classes, practice hours and observations.
  • Manage student expectations by effectively communicating and enforcing studio policies.

IV. Retail Sales

  • Provide all interested parties with helpful product knowledge for all retail items.
  • Execute merchandise sales.
  • Maintain visual displays and stock.
  • Place and receive inventory orders.
  • Manage out-of-stock orders and customer follow-ups.

V. Studio Maintenance & Cleanliness

  • Oversee studio maintenance and liaise with building management to solve maintenance issues that may arise.
  • Keep stock of all studio supplies and order items according to their schedule.
  • Ensure that the studios, washrooms, and change room facilities are kept stocked, clean and in working order.

VI. Other Administrative Tasks

  • Various filing, spreadsheet, data processing and documentation.

Desired Skills & Experience:

Customer Service

  • Winning personality with a genuine drive and enthusiasm promoting health and fitness.
  • Experience in Client Relationship Management and retail sales.
  • Exceptional communication skills with a proven record of building and maintaining long-term customer relations.

Administrative Technical Skills

  • Self-motivated worker with the ability to work alone or with team members.
  • High attention to detail with proven ability to multitask.
  • Self-motivated and analytical.
  • Demonstrable talent working with Microsoft Office Suite, most importantly Excel, Outlook and Word.
  • Experience working with Scheduling and POS software.


  • High School Diploma + Post-Secondary Training.
  • Exposure to the world of health & fitness; knowledge of Pilates is an asset but not required.
  • Post-Secondary Education in Business Administration an asset.
